Blogger Organization: How to Organize Like a Pro

Blogger Organization is something that is so necessary but also super hard to do when you have a zillion things going on! I’ve learned that getting a grip on my blogging organization is a game-changer, though! It’s about more than just keeping a tidy desk; it’s about having organized processes in place to keep content flowing! The right structure allows me to capture ideas, plan posts effectively, and ultimately hit publish on schedule. It’s not just about crossing off tasks; it’s an ongoing process that ensures what needs to get done every day, gets done!

Create Your Content Calendar

I’ve learned from experience that an editorial calendar (content calendar) is the backbone of any well-organized blogging routine. It’s literally a game-changer for me. With an editorial calendar, I have a visual snapshot of what I need to publish and when. It keeps me accountable for my content planning and ensures that I stay on track with my blog management goals.

My rule of thumb: I always plan content three months in advance. This allows Google and Pinterest time to find and index my posts. Let’s take 4th of July/summer grilling recipes, for example. I am working on and publishing these posts in APRIL (three months before July).

QUICK TIP

Want to publish a post but don’t want it to show up on your home feed because it’s out of season? No worries! Install the WordPress Hide Posts plugin. Once installed, you’ll have an option on the right-hand sidebar to “Hide from Frontpage.” Check that off and your new, out-of-season post won’t be seen on your homepage!

Time management can be tricky, but with a solid editorial calendar, it becomes much simpler. I can spread out my posts evenly, avoiding the stress of last-minute crunches. I also like to have a monthly goal in mind. For example, 8 new posts per month.

Deadlines are good to have, but monthly “goals” also allow for flexibility. So if I can only get to 1 post on a certain week, I know I have the rest of the month to make up that other post.

So, for any new bloggers out there trying to get a grip on content creation, trust me on this one—start with your editorial calendar and build your blogging efforts from there.

To-Do List: Organizing Your Blogging Tasks

I swear by my to-do list and my workflow; it’s literally like a magic wand for my daily blogging routine.

To make your list work for you, always start with the most important tasks first. ALWAYS prioritize activities that will move your blog’s traffic forward. These are tasks like writing posts, keyword research/SEO, etc.

A great tip is also to tackle these big tasks early or whenever your energy’s at its peak. Find out when your peak productivity window happens and align your toughest, “mind-consuming” tasks with these hours. For me, that’s in the morning. Don’t ask me to write a blog post past 3pm–my brain is MUSH!

Last up, tool choice matters. Sure, there’s fancy software out there (I love Trello!), but just a simple digital document or even a notepad does the trick. The best tool is one you’ll consistently use. Keep it open all day, and let it guide you from task to task. End your day with a quick glance at tomorrow’s list, so you wake up knowing exactly what you’ll be doing.

Create a Place to Keep Ideas

Ever have those spontaneous midnight thoughts or ideas? As creative entrepreneurs, our minds are always spinning!

Make sure you have a quick place to capture these ideas as they come to you. I have a Google Doc and a Trello board called “Ideas” that I can easily access from my phone or laptop. I just open one of those up and jot down my bright idea as soon as it comes to me. If you are anything like me, if I don’t write something down the moment it comes to me…POOF! It’s gone!

I also have a tab on my content calendar for keyword ideas I want to research. That way, when it’s time for me to do keyword research, I already have lots of ideas to start with.

Design a Simple, Organized Workspace

Ok, “design” might be too fancy of a word, but you can be working from your kitchen table or corner of your bedroom and still use these tips!

Clear the Clutter: I start by clearing the clutter because a tidy space is necessary for productivity. No piles of papers or tangled cords allowed! A clear, neat desk means a clear mind, ready to tackle tasks efficiently!

Smart Storage:
Next, I set up simple, smart storage solutions. This goes for both loose papers and items AND your computer documents! Organized digital spaces are just as just as important as physical ones! Do your very best to keep documents, photos, etc. in clearly labeled folders on your computer. A logical system will help you retrieve files quickly.

If you use Google Drive, I put a STAR on all of my most-used documents so I can quickly access them. Also, I manage online resources/websites with bookmarks grouped in folders such as “Blogging Resources,” “Personal,” or “Newsletter.” My most-used websites and resources go onto the Bookmarks Bar.

Last, I also make sure I clear out my “Downloads” folder from time to time so there isn’t a bunch of junk hanging out there. If it’s something I need to keep, I file it in a folder.

Comfort and Breaks:
Last, make sure you’re comfy in your workspace! Choose a comfy chair or adjust it to make sure your body isn’t strained if you’re sitting for long periods writing or editing.

Also, take breaks!! I have a consistent routine that includes regular, quick breaks. Find what rhythm works for you. Stepping away from your workspace even for just 5 minutes can recharge your mind and boost productivity.
